KI-Tool-Vergleich
The meeting ends, then what? I wired Fireflies into Zapier and automated the boring 40 minutes after every call
Fireflies captures the call. Zapier moves the results. Between them, the post-meeting admin that ate my Fridays just... stopped existing.

Nobody's job is attending meetings. The job is what happens after — notes into the project doc, tasks into the tracker, the client recap email, logging the decisions. I counted once: 30-40 minutes of clerical work after every client call. Fireflies killed half of it, Zapier killed the rest.
Fireflies' half: it joins, transcribes, and pulls out action items and key topics. Good but stuck — the summary lives in Fireflies. Useful to me, invisible to everyone else. That's the limitation that matters: capture tools are islands, and islands don't update your project tracker.
Zapier's half is the bridge. My flow now: call ends, Fireflies summary triggers a zap, the zap posts a digest to the project's Slack channel, creates tasks in the tracker from the action items, and files the transcript in the client's folder. Zero clicks. The first week I kept re-checking the tracker because I didn't trust it had happened.
The fiddly part is mapping. Fireflies' action items don't arrive as neat structured data — my zap needs a formatting step and a rule for who owns what, and one client call with two speakers talking over each other produced garbled tasks. Once a week I spend five minutes cleaning up. That's still a 90% cut.
Verdict: this isn't a versus, it's an assembly. Fireflies alone gives you a searchable archive. Fireflies plus Zapier gives you an office clerk who never forgets the follow-up. If you run more than three client calls a week, the assembly pays for itself the first month.
