Turn your client kick-off call into a working onboarding doc with Fireflies

The kick-off call contains the whole project — if anyone can find it afterwards. A Fireflies template plus one follow-up prompt turns ninety minutes of talk into the doc your team actually uses.

Every project's most valuable document is hiding in its kick-off call: the client's actual words about what they want, what they fear, and who signs off. Most teams lose it to a meeting-notes graveyard. With Fireflies and one template, the kick-off becomes the onboarding doc — same day, in the client's own language.

Before the call: create a topic tracker in Fireflies with the questions that matter for your kind of project. Mine, for web work: goals, audience, success metric, brand words, things they hate, decision makers, deadline drivers. Fireflies listens for these topics and flags where they were discussed, which turns a ninety-minute transcript into a structured map.

The hour after the call is where the doc gets built. Pull the flagged moments, and have Fireflies' AI (or any model, pasting the transcript) extract each topic with direct quotes. The rule that preserves the value: keep the client's phrasing. 'We want it to feel less corporate' is a design brief; 'the client wants a modern aesthetic' is a translation that lost the accent. Quotes are also your protection in month three, when scope memory gets foggy.

The doc skeleton that works: their goal in their words, success measured as they said it, the three brand words verbatim, the named decision maker, the deadline and what drives it, and an 'open questions' section built from everything the call raised but didn't settle. Send it to the client the same day with one line: 'here's what we heard.' The corrections come back in an hour — while the call is still fresh in their minds too.

The habit compounds: because every project's onboarding doc follows the same skeleton, the team knows where to look, and the client's own quotes settle every 'but what did they mean' argument before it starts. The call was always the best research you'd get. Now it's also the artifact.
