My Entire Prompt Library Lives in One Text File, and Yours Can Too

Prompt management apps keep failing for the same reason. A single searchable file beat all of them, here is the format.

I have tried four prompt management tools, a Notion database, and a proper folder structure. What survived is prompts.txt. One file, newest entries at the bottom, searchable by the built-in find function. This is not laziness; it is what a year of observation actually supports.

The failure of prompt tools is friction at the moment of use. When I am mid-task and need my editing prompt, the question is whether retrieving it costs more than retyping an approximation. Every dedicated tool added navigation, tags, and a sync spinner between me and the paste. A text file with everything in one place has zero retrieval cost, which means it actually gets used.

The format is three lines per prompt: a name, the prompt, and one line on when it works and when it does not. The third line is the valuable one and the one every tool omits. 'Works for blog drafts, produces too-long output for emails' is knowledge that no tagging system captures, and it is the difference between a library and a junk drawer.

Size discipline keeps it alive. Mine is 140 prompts after pruning, because every month I delete anything untouched for sixty days. The prompts I keep reaching for turned out to be fewer than twenty; the rest of the file is insurance against rare tasks. That ratio is normal, and it is why elaborate organization systems for prompts are solving a problem their owners do not have.

The deeper point: a prompt library is not an asset to manage, it is a habit to keep cheap. The moment saving a prompt takes more than ten seconds, you stop saving prompts. Keep the cost near zero and the library stays honest.
