The Notion AI Weekly Digest That Replaced My Status Meetings
Five databases, one scheduled prompt, and a Monday digest that tells me everything a 45-minute meeting used to (badly).
Our status meetings died the week my Notion AI digest got good. The system is simple enough to build tonight: five databases (projects, tasks, notes, decisions, blockers) that the team already updates naturally, plus one scheduled AI prompt that reads them every Monday at seven.
The prompt structure matters more than the tooling. Mine asks for exactly five sections: shipped last week, slipping this week, decisions made, blockers aging past three days, and the one thing most likely to need my intervention. The specificity is the product; 'summarize my workspace' produces noise, while 'blockers aging past three days' produces the meeting.
The blocker section is where the digest earns its keep. Aging is the key property: a blocker from yesterday is context, but a blocker untouched for nine days is a fire, and humans are terrible at noticing their own fires in a task list. The digest ranks them by staleness, which turned out to be a better prioritization engine than any meeting agenda.
Two rules keep the team honest with the data. The digest only reads what exists, so an empty update means an invisible project, which fixed itself within two weeks. And I never reply to the digest with new asks; reactions go to the person directly, or the digest becomes another inbox.
The measurable change: 45 minutes weekly returned to the team, and I know more about slippage than I did during the meetings, because the AI reads every project every week while the meeting only heard from whoever talked. Status meetings were never the point. Knowing was.
