The 5-Minute ChatGPT Prompt That Makes Agendas People Actually Follow

Most agendas are a list of nouns. This prompt turns yours into a timed decision document people prepare for.

The failure of most agendas is not organization, it is vagueness. 'Discuss pricing' is not an agenda item, it is a wish. The fix takes one well-built prompt, and once you have it, it takes five minutes per meeting.

Here is the prompt I reuse: paste your raw notes and ask ChatGPT to turn them into an agenda where every item is phrased as a question with a required decision, an owner, and a time box. Ban the words discuss, review, and update. Questions force outcomes; nouns force meetings that drift.

The prompt's second instruction matters most: ask it to put the decision and the options for that decision directly into the item. 'Pricing: choose between A, B, or C; decision needed from Sam; 15 minutes' gets prepared for. 'Pricing' gets arrived at unprepared.

Two refinements made it much better for me. First, tell it the total meeting length so the time boxes actually add up, with the most decision-heavy item first while energy exists. Second, ask it to append a 'not today' list, which parks the tangents people would otherwise fight to introduce mid-meeting.

The measurable change: my meetings got shorter and, more surprisingly, the pre-reads got real. When an agenda asks a question with your name on it, you come with an answer. That is the entire trick, and a chatbot is very good at manufacturing the question.
