I Made Zapier Sort Inbound Leads So I Stopped Triaging My Own Inbox

Every inbound lead used to land in one inbox and I decided the priority by gut, which meant good ones waited while I answered the loud ones. So I built a Zap that reads the email, scores it on two fields I actually care about, and routes it to the right place.

The tool was the easy part. The work was deciding the rule: if the sender's domain is a company and the message mentions budget or timeline, send it to the hot list; everything else goes to a nurture folder. Two conditions, not twenty. A scoring system with ten inputs is one you will never maintain.

I connected the email trigger to a filter, then to two paths, one posting to a slack channel, the other adding a row to a tracking sheet. The first version misrouted a third of them because I forgot signatures count as text, so I tightened the filter to look at the subject and the first line only.

It did not make me a closer, it made me honest about what I ignore. The leads I used to miss now arrive tagged, and the inbox is finally a tool instead of a judgment call I make fifty times a day.
