The Zapier Router That Sends Every Voice Note Where It Belongs
Meeting recordings, voice memos, and voicemails all landed in one folder. This Zap transcribes, tags, and routes each one automatically.
The folder was called 'audio miscellaneous' and it was where productivity went to die: meeting recordings, client voicemails, and half-formed voice memos all in one undifferentiated pile. The fix was a Zapier router with transcription and AI classification, built in an afternoon.
Step one watches the folder. Step two sends every file through transcription. Step three is the part that makes the system: a Zapier AI step that reads the transcript and returns one of four labels: meeting, client-communication, personal-memo, or junk. Classification before routing is what turns a pile into a pipeline.
The router then branches on the label, and each branch has its own destination logic. Meetings go to the workspace with a summary attached. Client communications trigger a task with the transcript linked, because a voicemail with a purchase question is a to-do, not an archive. Personal memos land in my notes. Junk gets archived after ninety days, which mostly catches the accidental pocket recordings.
The refinement that made it trustworthy: the AI step also outputs a confidence score, and low-confidence classifications go to a review queue instead of a destination. About one file in twelve needs the human glance, and that rate is exactly why the automation survives, because the failure mode is visible instead of misfiled.
Total build time was an afternoon, and the ongoing cost is a few minutes of queue review a week. The 'audio miscellaneous' folder is empty for the first time since it was created, and the important voicemails stopped being archaeology. Routing beats organizing, because routing happens whether or not you feel like it.
