Taming a 2,000-Email Inbox With Gemini's Rules and Prompts

Gemini inside Gmail will not reach inbox zero, but a three-filter setup got my unread count under 30 and kept it there.

My inbox had 2,000 unread emails and my triage strategy was despair. The fix was not willpower, it was three filters plus Gemini doing the summarizing, and the whole setup took under an hour to build.

Filter one is the no-reply wall: every sender containing noreply or no-reply skips the inbox and lands in a Read Later label. That alone removed roughly half my unread count, because none of it was mail, it was receipts and notifications wearing mail's clothes.

Filter two uses Gemini where it is actually strong: catching action-required mail. Anything from a real person stays put, but I ask Gemini to label threads containing deadlines, invoices, or direct questions, and I sort by that label first. The direct questions were what I was actually afraid of missing, not the volume.

Filter three is the daily digest habit. Each morning I ask Gemini to summarize the Read Later label in five bullets: what arrived, what needs money, what needs nothing. I read five bullets and archive by the page. The summaries are shallow, but shallow is correct for newsletters.

The result after a month: unread hovers under 30, and the number is honest because what remains is genuinely waiting on me. The lesson generalizes past Gemini: most inbox pain is mail that should never have been mail. Route it out first, then summarize what is left. Doing it in the other order is why triage attempts usually die in week one.
