The AI Stack of a One-Person Business (What Actually Earns Its Keep)

Running a business alone means being five departments with one budget. Here is the stack that replaced three contractors and still fits on one subscription page.

A one-person business has a strange relationship with tools: every subscription is cheap, and twelve of them are a salary. After two years of adding, cancelling, and rebuilding my stack, it has settled at five tools that each replace real labor, and the line I use to evaluate anything new is whether it removes hours or just adds features. Here is what survived, department by department.

The content department runs on two tools, a general assistant and a transcription service, and the division of labor matters more than either tool. The assistant drafts, repurposes, and edits against my voice notes; the transcription turns every call, podcast appearance, and voice memo into raw material. A one-person business has no content team, which means the pipeline from speaking to publishing has exactly one human in it, and that human needs the boring conversion work done automatically or it does not happen.

The operations department is one automation platform, and I judge it by a single metric: how many decisions it makes without me. Lead routing, invoice reminders, onboarding sequences, report generation, the goal is not cleverness but the elimination of the small recurring choices that add up to a part-time job. My rule after automating too much and regretting it once: automate anything that happens weekly or more with a fixed procedure, and leave judgment calls human no matter how good the tool seems.

The design and media department is where stacks bloat fastest, because every AI tool demos beautifully. Mine is one image tool for everything visual, one video tool used exactly twice a quarter, and the honest admission that stock assets still cover the rest. The twice-a-quarter tool is the interesting case: I keep it despite the cost because the two projects a year that need it would each cost five times the subscription in freelance fees, and that math survives every audit.

The fifth tool is the general-purpose one, and I mention it last because it is both the least and most important: the assistant that handles everything that does not fit a category. Contracts reviewed before the lawyer sees them, objections rehearsed before sales calls, code snippets for the website, the reading pile summarized. If I could keep only one subscription it would be this, which tells you something about where AI actually stands for small business: the specialist tools earn their niches, but the generalist earns the budget. The stack costs less than one contractor month and quietly covers five departments, and every six months I audit it the same way: hours removed, or cancelled.
